Streamlining Installation Scheduling with Microsoft Planner & Business Central Integration

The Challenge: Visibility Without Complexity

The client needed a better way to manage installation schedules and communicate updates to a distributed team of installers. While solutions like Microsoft Dynamics 365 Field Service could address these needs, they would introduce an additional platform and require integration back into Business Central.

That wasn’t ideal.

Their operations and production teams already relied heavily on Business Central and trusted it as their single source of truth. Adding another system risked fragmentation, increased training requirements, and reduced efficiency.

At the same time, the installation workforce presented another constraint:

  • Installers primarily used personal mobile devices
  • Many did not have company-issued email accounts
  • Team turnover was relatively high

Any solution needed to be flexible, lightweight, and accessible without strict IT dependencies.

The Solution: Leveraging Microsoft Planner

After evaluating options, we identified Microsoft Planner as the ideal complement to Business Central.

Planner offered a key advantage: tasks can be assigned to users using virtually any email address, removing the need for company-managed accounts. This made it perfectly suited for a dynamic, mobile workforce.

Building the Integration

To bridge the gap between scheduling and execution, we enhanced Business Central with custom fields aligned to the client’s operational workflow, including:

  • Task Assigned To
  • Preparation Date
  • Measure/Template Date
  • Engineering/CAD Date
  • Production Date
  • Installation Date

These fields provided a clear, end-to-end view of each sales order’s lifecycle - from initial prep through final installation.

How It Works

Once a sales order is ready:

  1. The “Task Assigned To” field and relevant schedule dates are populated in Business Central
  2. The system automatically pushes the order to Planner
  3. Individual tasks are created for each step in the process

Tasks are organized into corresponding Planner buckets (e.g., Prep, Engineering, Production, Installation)

Real-Time Communication & Sync

Because Planner integrates seamlessly with Microsoft Outlook, installers receive automatic email notifications whenever new tasks are assigned. No additional app training required.

Even more importantly, synchronization works both ways:

  • Schedule updates sync between Business Central and Planner in real time
  • Task completion in Planner automatically writes a timestamp back to Business Central
  • Status visibility is maintained across both platforms without manual updates

The Result: Minimal Change, Maximum Impact

This integration delivered a powerful outcome:

  • ✔ Real-time communication with installers
  • ✔ No need for company email accounts
  • ✔ Minimal disruption to existing workflows
  • ✔ Full visibility into job progress across departments

The installation team continues working the way they always have, using their personal devices and email. while the operations team gains greater control, accuracy, and insight into scheduling.
